Preparing for an excursion

To support planning for your excursion/incursion view the NSW Department of Education advice for planning an excursion. This can be accessed by schools outside of the NSW Department of Education.

Program costs

Full day excursion or incursion
  • Department of Education schools $22 per student
  • Non-government schools $28 per student
Part day incursion cost - 2 hour session
  • Department of Education schools $12 per student
  • Non-government schools $18 per student

Department of Education schools - An Interschool Journal will be issued to your school after the program. All program fees are GST free.

Non-government schools - A sales order will be used to process program fees. Please provide a purchase order number if required by your school. All program fees are GST free.

The cost of the program is calculated on the number of students confirmed 5 working days prior to the excursion.

Student numbers

Maximum class numbers are listed in each program.

The guidelines for outdoor learning is a ratio of 15 students to one adult. We accept a maximum of 30 students per class accompanied by a classroom teacher.

Student numbers are to be confirmed within 5 working days of the program or a cancellation fee may be charged.

Risk Assessment

The Georges River EEC has completed a risk assessment for each location. Our risk assessments can be used as a guide for your school to complete. Risk assessments can be found in locations.

What to bring on excursion

Students

  • low-waste lunch and recess
  • reusable water bottles
  • hat
  • school or sports uniform (sports uniform preferred)
  • sturdy, closed-in walking shoes
  • sunscreen
  • backpack (no plastic bags)
  • raincoat in wet weather. No umbrellas please.

High school students

In addition to the above items please bring a clipboard and pencil.

Teachers

In additional to the above please bring:

  • student name tags
  • portable first aid kit
  • student rolls and medications including student ASCIA Action plans
  • general use adrenaline injector (EpiPen) and ASCIA First Aid Plan for Anaphylaxis (Orange) EpiPen
  • asthma reliever inhaler (Ventolin) and asthma spacer device
  • printed worksheets (if applicable)
  • pencils (if applicable)

Staff and student welfare

Programs require walking through parklands, bushland or on river beaches. Some programs may have limited accessibility. Our programs may not be suitable for recently unwell participants.

For medical or special needs notify staff prior to program.

Extreme or wet weather

In general, our staff are prepared to complete learning programs in varied weather conditions except where health and safety could be compromised. School staff should assess the appropriateness of the visit with poor conditions and discuss with our centre staff as soon as possible. In the event of cancellation, we will do our best to find an alternative date.

Cancellation policy

Cancellation or major changes to bookings will incur the following cancellation fees:

  • within 30 days of excursion or incursion date - $600 administration fee charged
  • within 7 days of excursion/incursion date - total fee charged based on confirmed student numbers.
  • Weather or fire danger cancellation – $0

Triggers points for postponement and cancellation

Rain 70-100% chance of 10 mm or more Consideration given to student numbers, program and excursion location. Students bring rainjackets if showers are forecast.
Heat 35 °C or higher Consult with school about modifying or postponing if temperatures of over 35°C are predicted.
Storm Severe weather warning or higher issued for storms Consult with school about modifying or postponing when non-severe storms are forecast.
Wind Wind warnings Consult with school about modifying or postponing if a strong wind warning is issued.
Flood High rainfall causing localised flooding in some study sites located along the Georges River. Monitor creek levels and tides. High rainfall has the potential to cause flash flooding in some study sites.
Bushfire Catastrophic fire danger days

Extreme fire danger, closures of National Park tracks with total fire ban - consult with school about modifying or postponing.

Catastrophic fire danger days - site closed and excursions postponed.

Smoke/Air quality Very poor warning issued for air quality Consult with school about modifying or postponing if poor air quality warning is issued.
